The situation

The client sells sports apparel to clubs and had never run outbound before. They knew roughly who the buyers were. They did not know what those buyers currently used, who they bought it from, or what would make them switch, and no amount of desk research was going to tell them.

So the campaign had two jobs. Book meetings, and come back with what the market said.

What we ran

The data asset

This is the part we would point at. Roughly one dial in four became a structured record, written from the call's own transcript. Not notes typed by whoever remembered to, and not a summary deck at the end of the month. A row per conversation, the same fields every time, sitting in the client's portal where it can be filtered and exported.

Coverage is stated as measured. Supplier and contract detail only get captured when a prospect volunteers them, which on a first cold call is not often. We would rather publish 6% than imply we mapped a market we did not.

Why the coaching field matters

Every analysed call carries a coaching note, which means the quality loop runs off what was really said rather than off a supervisor's sampling. On a two-person desk that is the difference between an agent repeating the same mistake for three weeks and correcting it on day two.

And the appointments

46 appointments from 2,668 dials is 1.7%. On its own that number means very little, because it moves entirely with the list, the offer and how strictly an appointment is qualified. What matters more is that all 46 carry a recording and a transcript, so the client can open any one of them, press play, and judge it.

Where a person picked up, the call is on tape 97% of the time or better. Where it reached a machine there was nothing worth keeping. More than half of all dials on a cold list reach an answering machine, which is normal, and is why dial counts alone tell you almost nothing.

The campaign ends and the meetings are either kept or they are not. The records stay.
